This Privacy and Commercial Confidentiality Policy governs all commodity inquiries, RFQs, customs clearance filings, and transaction records handled by FADAK OVERSEAS LLP ("FADAK OVERSEAS", "we", "us", or "our").
1. Information We Collect from Vessel Operators
In the course of providing ship spares, workshop overhauls, and international customs delivery, we process:
- Vessel Identification Data: Vessel name, IMO number, call sign, MMSI, and current AIS port anchorage position.
- Technical Machinery Specifications: Engine serial numbers, maker plate data, hydraulic schematics, and vibration reports.
- Commercial Officer Contact Data: Name, professional email, phone number, and corporate identity of technical superintendents, purchasers, and captains.
- Customs & Manifest Logistics Data: Consignee details, port agent manifests, bills of lading, and port clearance declarations.
2. Purpose & Lawful Basis of Processing
We process this information strictly to perform our contractual obligations under maritime procurement orders, including:
- Cross-referencing spare parts compatibility with original maker parts books (e.g., MAN B&W, Wärtsilä, Alfa Laval).
- Filing Indian and international port export manifests (CHA) for expedited in-transit ship stores clearance.
- Scheduling third-party classification surveyor inspections (DNV, Lloyd's Register, BV, ABS).
- Coordinating launch boat delivery to outer port limits (OPL) or drydock berths.
3. Commercial Confidentiality & Fleet Non-Disclosure
We treat all fleet breakdown incidents, emergency drydock work scopes, and off-hire situations with the strictest maritime commercial confidentiality. We never disclose that a vessel has experienced a machinery breakdown or canal transit hold-up to charterers, insurers, or competitors.
4. Cross-Border Port Transfers & Third Parties
Data is only shared with authorized parties essential to completing delivery:
- Licensed Port Authorities and Customs Agencies at destination ports (e.g., PSA Singapore, Port of Rotterdam, Jebel Ali).
- Accredited air and ocean freight carriers (e.g., Emirates SkyCargo, Singapore Airlines Cargo, Maersk Line).
- Classification Societies when official surveyor inspection certificates are commissioned by the buyer.
5. Data Retention & Security Standards
Technical test sheets, balancing certificates, and customs records are archived for a period of seven (7) years in accordance with Indian maritime export laws and international IMO audit requirements. All customer data is secured with enterprise encryption at rest and in transit.
